Hotel & Associates does not use personal information beyond the scope of purposes described below without the customer's consent. However, Hotel & Associates shares certain information with other member companies of New Oriental Hotel Group. For details, see "Share of Personal Information" below.

Protection and Management of Personal Information
Hotel & Associates, under in-house rules and regulations, make utmost effort to properly manage personal information; information security specialists are assigned to each department to protect the personal information from leakage. In addition, proper and reasonable security measures are taken to prevent any illegal access, loss, destruction, falsification and other risks.

Transfer of Personal Information for Outsourcing
Hotel & Associates outsources some operations to offer improved services to customers, thus transferring personal information to subcontractors. Hotel & Associates carefully evaluates subcontractors by the standards in relation to issues including personal information management, confidentiality, outsourcing restrictions and means to protect personal information from leakage, then selects and manages appropriate subcontractors based on the evaluation.

Disclosure of Personal Information to Third Party
Hotels & Associates does not disclose the personal information to a third party except in the following circumstances.
When disclosure is required by law
When disclosure is necessary for the protection of human life, health or property, while it is difficult to obtain the consent from the customer
When disclosure is particularly needed for the enhancement of public health and hygiene, or for the sound development of children and youth, while it is difficult to obtain the consent from the customer.
When disclosure is necessary for the government organization/local authority or other organizations to execute their tasks or duties.

Continuous Improvement of Compliance Program
Hotel & Associates creates a compliance program concerning personal information and reviews it regularly for continuous improvement.

Access to, Correction or Deletion of Personal Information
Hotel & Associates responds to requests from customers for access to their personal information held by Hotel & Associates without delay. In response to requests from customers for correction or deletion of their personal information, Hotel & Associates conducts research and if reasonable grounds exist, corrects or deletes the said information without delay. In either case, call Customer Service for more information. Please understand that an inquiry concerning your personal information requires identification, then procedures for requests and payment of a fee.
